SECRETARY & ADMINISTRATIVE ASSISTANT: General Affairs & Secretary Department

Main task of the position is being secretary assistant to the Executive Assistant of the President.

The position includes supporting the General Affairs department by completing administrative operations and cooperating in the development and continuous improvement of the departments to contribute to the good functioning of all departments.

Your tasks and responsibilities will include:

Secretary tasks for President

  • Offer assistance to the President. (Co-ordinate business travels, manage calendars and scheduling, bridging communication with other entities/companies, research information, preparing meetings, making appointments and liaise with clients and suppliers, seasonal operations, expense handling, any other professional needs).

General administrative tasks

  • Support reception and other administrative services to the General Affairs department. (Answer incoming calls, welcome on-site visitors, manage hotel/restaurant/taxi/flight/train/etc. bookings, handle incoming invoices, facilities request etc.)

Your background:

  • You have a bachelor degree (preferably in office management or administrative field).
  • You have at least 3 years of work experience in administration or equivalent.
  • You have a valid Belgian driver’s license (mandatory).
  • You are fluent in Japanese and English. (French or Dutch is an asset).
  • You are a PC literate (MS office).
