Recruitment Staff for the Mission of Japan to the European Union

The Mission of Japan to the European Union (hereinafter called “Mission”) is looking to recruit motivated persons to support our activities. For all positions, a working permit valid in Belgium is required (not applicable to EU citizens). Once we are ready to recruit new members, we may invite you for an interview. Please note that we may ask you to consider a different position based on your CV.
 
We are looking for:

  •     a person who is eager to contribute to the relationship between Japan and the EU, who has strong interest in Japan, its culture, and language.
  •     Experiences of working/studying in Japan (or working/studying related to Japan) is highly appreciated.
  •     a person whose mother language is English, with knowledge of French. Speaking and writing skills in Japanese are also desirable.

 
Type of Occupation

1. Clerk

(1)Required abilities:
   Administrative section

  •         Fluent in Japanese/French/English
  •         Proficient use of Microsoft Office (Word, Excel, Outlook…)
  •         Strong negotiation skills
  •         Teamwork, Planning
  •         Valid working permit if non-EU citizen

 
  PR section

  •      Extensive knowledge of European institutions and the functioning of the EU
  •      Work experience in the field of communication, PR (experience in the EU institutions is  highly appreciated)
  •     Native level of English (Knowledge of French/Japanese is also desirable.)
  •     Proficient use of Microsoft Office (Word, Excel, Outlook…)
  •     Valid working permit if non-EU citizen

(2) Duties
Administrative section
Note: Various duties depending on the position

  •     Assisting with Accounts/General affairs
  •     Assisting with diplomats’ departures/arrivals
  •     Assisting with maintenance of buildings
  •     Assisting the “Security section”
  •     Assisting the Reception

 
PR section
-Writing reports on conferences and events held in Brussels (e.g. press conferences of European institutions…)
-Checking on news, writing resumes (in English)
-Writing documents which are officially released by the Mission, making speech drafts
-Proofreading of documents written in English
-Conducting research
 

2.  Secretary

(1) Required abilities

  •     Experience with managing someone’s official work schedule, working experience as a secretary is highly appreciated.
  •     Native level of English and French including formal verbal/writing skills. (Ability to communicate in Dutch is also desirable.)
  •     Knowledge of and interest in the relationship between Japan and the EU, issues related to the EU (e.g. diplomatic relations, judicial and domestic politics)
  •     Proficient use of Microsoft Office (Word, Excel, Outlook…)
  •     Good organizational skills
  •     Strong communication skills
  •     Valid working permit if non-EU citizen


(2) Duties

  •      Support diplomats’ official activities
  •      Managing diplomats’ agenda, organizing their schedules, making reservations etc..
  •      Responding to phone calls, sending/receiving messages
  •      Researching and compiling information
  •      Contacting European institutions, Belgian protocol etc as required…


    3.  Butler, staff at the Ambassador’s residence

Note: the information below is for the post of butler, but we also have butler-assistant posts.

(1) Required abilities

  •     Experience in the service industry
  •     Knowledge of wine and other alcohol beverages
  •     Communication skills in English/French. Knowledge of Japanese is highly appreciated.
  •     Knowledge of table manners and dining formalities
  •     Proficient use of Microsoft Office (Word, Excel, Outlook…)
  •     Politeness, punctuality and the ability to multitask
  •     Valid working permit if non-EU citizen

(2)Duties

  •     Management of residence
  •     Setting up and assisting with official meals, receptions etc…
  •     Management of a wine cellar and other equipment

 

  4.  Drivers

Note: the information below is for the post of driver but we also have other posts.

(1) Required abilities

  •     Knowledge of roads and facilities in Brussels
  •     Communication skills in English/French,
  •     Working experience as a driver
  •     Sociable with strong teamwork skills
  •     Punctuality
  •     Valid working permit if non-EU citizen
  •     Driver’s license valid in Belgium


(2)Duties

  •     Security transit for all members of the Mission
  •     Driving carefully, accompanying members of the Mission and official visitors
  •     Shopping for products which are officially requested by the Mission and the delivery of letters and messages
  •     Maintenance of cars (cleaning inside/outside, checking the amount of fuel, ensuring working brakes and tire pressure etc…)
